Renter Chat Overview

Renter Chat is TrailerBase's AI-first messaging widget. You drop it on your website and it answers most customer questions before you ever see them — availability, pricing, policies, how to book, where to pick up. When the question is genuinely complex or the customer asks for a human, the chat hands off to your team without missing a beat.

This article explains what Renter Chat can do, where it fits in your stack, and why it matters.

What it is

Renter Chat runs in two places:

  • On your TrailerBase public site — every rental site built with TrailerBase comes with the chat bubble already installed.
  • On your own marketing site — a lightweight embed code drops the widget into any HTML page, including WordPress, Squarespace, Webflow, and custom-built sites.

When a visitor opens the widget, they start talking to your AI agent. The agent has full context on your inventory, rates, locations, hours, policies, FAQs, and any custom knowledge you upload. It can also look up trailer availability in real time and generate a booking link.

What the AI can answer

Out of the box, Renter Chat handles:

  • Availability questions — "Do you have a 7x14 dump trailer this Saturday?"
  • Pricing questions — "How much is the landscape trailer for a weekend?"
  • Policy questions — "What happens if I return it late?" "Do I need insurance?"
  • Location and hours — "Where do I pick up?" "Are you open Sunday?"
  • Process questions — "How do I pay the deposit?" "What ID do I need?"

It can also start a booking flow and pre-fill the trailer, date, and location.

When it hands off

Three triggers cause the bot to escalate to a human:

  1. The customer asks for one. Phrases like "talk to a person" or "can I speak to someone" fire an immediate handoff.
  2. The bot is not confident. If it cannot find an answer with high confidence, it asks if they want to be connected to the team rather than guessing.
  3. Rules you define. You can set keyword triggers (for example, "accident" or "damage") or turn-count limits (hand off after 6 back-and-forths) in settings.

Handoffs go to your shared inbox, where any staff member can jump in. The full transcript is preserved so your team has context.

Why it matters

Most rental businesses lose bookings on evenings and weekends because nobody is watching the phone. Renter Chat is awake 24/7, captures the lead, answers what it can, and schedules a callback if it cannot. Operators typically see:

  • A 20-40% lift in after-hours conversion.
  • 70-90% of chats resolved without a human ever touching them.
  • Faster average response time, which lifts SEO signals and trust.

What is next

The rest of the Renter Chat articles walk you through the specific setup steps:

  • Installing the widget on your marketing site.
  • Managing incoming conversations in your inbox.
  • Capturing leads automatically.
  • Tuning AI settings, tone, business hours, and handoff rules.

If you are on a Pro or higher plan, every Renter Chat feature is included. There is no per-conversation cost.
