Setting Up Company Branding
Your brand should show up consistently everywhere a customer sees you — invoices, confirmation emails, the booking widget, contracts, and your public rental site. TrailerBase gives you a single page to set everything, and it propagates automatically.
Where to configure
Open Settings > Company Branding. You will see six sections: Logos, Colors, Contact, Hours, Legal, and Social.
Logos
Upload three versions of your logo:
- Primary logo — the horizontal version used in invoices, emails, and site header. PNG, JPG, or SVG. We recommend SVG when you have it, because it scales cleanly to any size. Target: at least 600px wide.
- Square logo — used in places with limited width (like the mobile app icon, email avatars, and social previews). Same formats. Target: at least 512x512.
- Favicon — the tiny icon in browser tabs. Auto-generated from your square logo if you do not upload one, but you get better results with a dedicated 64x64 or 128x128.
You can upload a dark-mode variant of each logo if your primary logo disappears on dark backgrounds.
Colors
Two colors drive everything:
- Primary color — used for buttons, links, and accents across your booking widget, emails, and invoices.
- Secondary color — used for secondary buttons, icons, and highlights.
Paste hex codes (like #FF6600) or use the color picker. Save, and the preview on the right updates live so you can see how invoices and emails will look.
Contact info
Fill in:
- Company phone — appears in email footers and contracts.
- Company email — the reply-to address on automated emails.
- Physical address — used on invoices, legal docs, and Google Maps embeds on your site.
Double-check this data — it is literally on every invoice you send.
Business hours
Set per-day hours (Monday-Sunday), plus holidays. Business hours do a few things:
- Drive the "Open now" indicator on your public site.
- Inform the AI chat's after-hours behavior.
- Pre-filter pickup/return time slots to your open times.
You can override hours per location if you run multi-location.
Legal
- Legal company name — if different from your DBA.
- Tax ID / EIN — appears on invoices where required.
- Rental agreement defaults — terms and conditions the system uses as the default contract unless overridden.
Social links
Drop in URLs for Facebook, Instagram, TikTok, YouTube, X, and your Google Business Profile. These show up as icons in the footers of customer emails and on your public site.
How it propagates
Once you save, branding applies to:
- Invoices (PDF and web) — logo, colors, contact info, tax ID.
- Booking widget — primary color and logo.
- Email notifications — header logo, accent color, footer contact and social links.
- Contracts — letterhead with logo and legal company name.
- Public site — everything visible to customers.
There is no per-touchpoint configuration. Set it once, it shows up everywhere.
Step-by-step quick setup
- Open Settings > Company Branding.
- Upload primary logo (SVG if possible) and square logo.
- Upload or auto-generate the favicon.
- Set primary and secondary colors matching your logo.
- Fill in phone, email, physical address.
- Set business hours.
- Add EIN and legal company name.
- Paste social links.
- Save.
- Open the Email Preview and Invoice Preview panels to confirm everything looks right.
Tips
- Use the same colors your existing marketing site uses — customers notice drift.
- Update your business hours at the start of every season, including holidays.
- If you rebrand, upload both logo versions the same day. A mismatched email avatar looks bush-league.
- Revisit every 6 months — small tweaks make a disproportionate difference in how professional you look.
