AI maintenance predictor for your fleet

Surprise breakdowns cost you rentals, reputation, and repair markup. The AI maintenance predictor tells you what each trailer will likely need next and when, so you can schedule service during your slowest window instead of in the middle of peak season.

What the predictor tells you

Open any trailer's detail page and scroll to the Maintenance tab. You will see a panel titled Predicted next services with entries that look like:

  • Tires — due in ~2,400 miles (replace before the next high-mileage rental).
  • Wheel bearings — inspect in ~4 months (repack or replace based on inspection).
  • Brake controller check — due in ~1,800 miles.
  • Annual DOT inspection — 37 days until expiration.

Each entry shows a confidence level (High / Medium / Low) and a short explanation of how the estimate was produced.

How the estimates are produced

The predictor combines two inputs:

  1. Category defaults. Every trailer category in TrailerBase ships with a default service schedule — tires every X miles, bearings every Y months, and so on. These are calibrated to industry norms and the kind of duty cycle a rental trailer sees (heavier than a private trailer).

  2. Your own maintenance history. As you log completed services on a trailer, the AI learns your actual interval. If a specific dump trailer has chewed through tires twice as fast as the category default — because of how your customers load it or where they tow it — the predictor will shorten the interval for that unit.

The more service history you log, the more the predictions shift from category-default to your-unit-specific. After 6-12 logged services per trailer, the confidence label almost always reaches High.

Keeping predictions accurate

The predictor is only as good as the data you feed it. Three habits make a big difference:

  • Log the mileage on the trailer at every service. Without mileage, mile-based intervals fall back to date-based estimates with lower confidence.
  • Record what was actually done — not just "maintenance," but "replaced left-rear tire" or "repacked bearings." The AI matches these to the right interval buckets.
  • Close the rental with the return odometer. This is how the system tracks miles between services.

Fleet-wide view

For a bird's-eye view, open Fleet > Maintenance forecast. You will see every upcoming prediction sorted by urgency, with color bands:

  • Red — overdue or due within 7 days.
  • Yellow — due within 30 days.
  • Green — scheduled comfortably in the future.

From this view you can bulk-schedule a batch of tire rotations in one afternoon or push the whole fleet's annual inspections into your January slow period.

Connecting predictions to automations

Predictions flow into the platform's notification system. Turn on Maintenance due alerts under Settings > Notifications to get an email or in-app ping when a trailer crosses from green into yellow. Your shop tech can subscribe too so they are not surprised when a trailer shows up on their bench.

What the predictor does not do

The predictor is a forecast, not a diagnosis. It will not catch a cracked frame spotted during a walk-around or a renter report about trailer sway. Keep doing your pre-rental inspections — the predictor complements them, it does not replace them.

Used consistently, this tool shifts your shop from reactive to planned and keeps your trailers earning when the weather is good.
