AI report summaries and weekly digests
Reading a revenue report or utilization breakdown takes time you probably do not have. TrailerBase adds an AI summary to every report so you can grasp what happened in a few seconds, then drill into the numbers only when something is worth a closer look.
Where to find Summarize
Open any report under the Reports tab. At the top-right of the report header you will see a Summarize button with a small sparkle icon. Click it and the AI reads the underlying data, then places a 3-sentence summary at the very top of the page.
The three sentences follow a consistent shape:
- What the period looked like overall — total revenue, booking count, occupancy.
- What changed compared to the prior period — direction and magnitude.
- What stands out or needs attention — one anomaly, outlier, or opportunity.
Highlighting anomalies
The AI does not only summarize averages. It actively scans for anomalies:
- A trailer with utilization far below its usual rate.
- A weekend that underperformed the trailing 4-week average.
- A sudden spike in cancellations or chargebacks.
- A renter or promo code responsible for an outsized share of revenue.
Anomalies appear in bold inside the summary, and a one-line explanation follows the main paragraph when the anomaly is significant.
Regenerating and refining
If the summary feels off, click Regenerate. The AI reruns with the same data but different focus. You can also change the date range in the report filter and the summary rewrites itself automatically — you do not have to click Summarize again.
Summaries cost nothing extra on any plan. They count against your account's monthly AI usage only after a generous free tier, which most operators never hit.
Weekly digest email
You do not have to log in to get the value. Turn on the Weekly digest email:
- Go to Settings > Notifications.
- Find AI weekly digest in the email section.
- Choose a delivery day (default is Monday at 8am in your local timezone).
- Pick which reports to include — Revenue, Utilization, Fleet health, Renters, or all four.
- Save.
Every week you will get one email with the three-sentence AI summary for each report, followed by the top three anomalies and a deep-link back into TrailerBase to view the full numbers.
Who gets the digest
By default only the owner receives the digest. To include other team members, go to Settings > Team, open the user, and toggle Receive weekly digest. This lets you send high-level insights to managers without giving them access to every transactional detail.
Tips for better summaries
- Keep categories tagged. The AI uses trailer categories to explain variance ("dump trailers drove the jump"), so untagged inventory produces vaguer summaries.
- Tag promo codes and marketing sources. The AI can attribute revenue lifts to a specific campaign when the metadata is present.
- Fix known data issues before you rely on the summary. If a manual adjustment has not been posted yet, the summary will reflect the pre-adjustment numbers.
The summary is there to replace 80% of the time you would have spent scanning a report. Use it as a starting point, then click into the chart that surprised you.
