Price like a pro without spreadsheets

The Pricing Optimizer is an AI feature that looks at your fleet, your market, and your history, and recommends new prices that maximize revenue without killing utilization.

It is available on Pro (20 runs per month) and Advanced (unlimited).

What it analyzes

Every run pulls in three sources of data:

  1. Comps — what comparable trailers cost on other rental platforms in your metro area. TrailerBase pulls listing data from several sources and filters by trailer type, size, and year.
  2. Utilization — how often your trailer is rented. High utilization suggests you are leaving money on the table. Low utilization suggests you are overpriced.
  3. Seasonality — your own historical booking patterns by week, day-of-week, and month. Weekends almost always command a premium; spring and fall peaks vary by region.

What it recommends

For each trailer (or your entire fleet), the Optimizer suggests three values:

  1. Daily rate — the new base weekday rate in dollars
  2. Weekend surge — a percentage or flat-dollar bump for Friday-Sunday bookings
  3. Minimum rental — the shortest rental duration you should accept (helps filter out low-margin bookings)

Each recommendation comes with a confidence score and a reasoning panel that shows:

  • The exact comps used
  • Your utilization over the last 90 days
  • Seasonal patterns detected
  • Expected revenue change if you apply the suggestion

Running the Optimizer

  1. Go to Trailers > [pick a trailer] > Pricing or Settings > Pricing > Run Optimizer.
  2. Click Run Optimizer.
  3. Wait 10-30 seconds while the AI analyzes. You will see a progress bar.
  4. Review the recommendation card.

Reviewing suggestions

The recommendation card shows:

  • Current daily rate, weekend surge, and minimum
  • Suggested new values, side by side
  • Delta — dollar and percent change for each
  • Expected impact — "+$812/month estimated revenue based on simulated demand"
  • Reasoning — expandable section with the full analysis

One-click apply

If you like what you see, click Apply to trailer (or Apply to fleet if you ran it across multiple trailers). TrailerBase updates your pricing immediately. Existing reservations are not affected — only new bookings use the new rates.

Prefer to make only some changes? Each suggestion has individual checkboxes. Apply just the weekend surge, or just the minimum rental — whatever feels right.

Scheduling recurring runs

On the Advanced plan, you can schedule the Optimizer to run weekly or monthly and email you the recommendations. It will not auto-apply changes unless you explicitly enable auto-apply, which is turned off by default.

  1. Go to Settings > Pricing > Schedule.
  2. Pick a cadence.
  3. Choose whether to email suggestions (default) or auto-apply high-confidence ones.
  4. Save.

When to trust the Optimizer

The AI is most accurate when you have:

  • At least 90 days of booking history
  • At least 10 past reservations on the trailer in question
  • Recent market activity in your metro area (most metros have plenty)

For brand-new trailers or quiet markets, treat suggestions as a starting point rather than gospel.

Common patterns

After running the Optimizer for a while, operators usually see:

  1. Weekend surge pricing is almost always underutilized — a 25-40% weekend premium is common and accepted.
  2. Minimum rentals of 2-3 days raise average revenue more than rate hikes do.
  3. Seasonal rates — higher in spring and fall, lower in deep winter — capture demand peaks.

Tips

  • Re-run monthly. Market conditions change and so should your prices.
  • Watch utilization after applying. If it drops sharply, back off the rate a bit.
  • Pair with the Business Assistant — ask "Which trailers should I run the Optimizer on first?" for prioritization.
