How much AI you get on each plan

TrailerBase ships several AI features and each plan has a different quota. This article explains exactly what you get and how usage is counted.

The three plans at a glance

  1. Launch — 5 assistant messages per day; no other AI features.
  2. Pro — includes Pricing Optimizer, Risk Scoring, Report AI, and Maintenance AI with monthly caps per feature.
  3. Advancedunlimited Business Assistant, Renter Chat, and Voice AI, plus everything in Pro.

How tokens are counted

Behind every AI action is a large language model that processes tokens (roughly, pieces of words). One message typically uses 500 to 5,000 tokens depending on complexity. Most users on Pro do not come close to hitting their quota in normal use.

Unlimited on Advanced means we do not meter token count for your day-to-day use. We reserve the right to apply fair-use limits if a single account uses more than 10x the plan average, but we will reach out before taking any action.

The Usage Dashboard

To see exactly where you stand, open Settings > AI Usage. You will see a card per feature with:

  1. Current usage this period
  2. Remaining quota (for capped plans)
  3. Reset date (when the counter zeroes out)
  4. Daily usage chart for the past 30 days
  5. Top users on your team (so you can see who is leveraging AI)

What happens when you hit your limit

On capped plans:

  1. You will see a warning banner at 80% usage.
  2. At 100%, the feature returns a friendly message explaining the limit and offering a one-click upgrade.
  3. Existing conversations and data are untouched — you just cannot make new AI requests until the reset date or an upgrade.

Buying extra quota

If you are on Pro and routinely hit limits, you have two options:

  • Upgrade to Advanced — makes sense if you are hitting caps across multiple features.
  • Add-on packs — purchase 100 extra assistant messages, 10 extra pricing runs, or 50 extra risk scores as one-time boosts from Billing > Add-ons.

Privacy

Your prompts and the data accessed by AI features are never used to train external models. All AI requests run with your organization's access controls applied, so AI cannot see data your user role cannot.

Tips

  • Check the Usage Dashboard monthly if you are on Pro.
  • Upgrade to Advanced when you find yourself rationing assistant messages — it almost always pays for itself.
  • Involve your team — if only you are using AI, you are leaving value on the table.
