Tracking email performance

You cannot improve what you do not measure. The Email performance dashboard shows exactly how every automation is doing so you can spot the templates that need a rewrite and the ones that are quietly carrying the business.

Where to find it

Go to Automations > Performance. You will see every automation listed with six headline metrics:

  • Sent — total messages handed to the sending service.
  • Delivered — messages accepted by the recipient mail server.
  • Opened — messages the recipient opened (tracked via pixel).
  • Clicked — messages where at least one link was clicked.
  • Bounced — messages rejected by the recipient server.
  • Complained — messages the recipient marked as spam.

Each metric is shown as both a raw count and a percentage of the relevant base (open rate = opened / delivered, click rate = clicked / delivered, etc.).

What a healthy pattern looks like

Industry benchmarks for transactional + lifecycle rental emails:

  • Delivered: 99%+ (below this means you have a deliverability problem).
  • Open rate: 40-65% for lifecycle emails, 25-40% for marketing.
  • Click rate: 10-25% for lifecycle, 3-8% for marketing.
  • Bounce rate: under 1%.
  • Complaint rate: under 0.1%.

If you are in these ranges you are doing fine. If you are below, keep reading.

Per-automation stats

Click any automation name to drill into its specific stats. You will see:

  • The six headline metrics for that automation only.
  • A line chart of daily sends over the last 30 days.
  • A link-level breakdown showing which links in the template are clicked most.
  • A sample sent email rendered as the recipient saw it.

The link-level breakdown is gold. If 80% of your Review request clicks go to Google and 2% go to Facebook, you know which one to put first.

30-day trend

At the top of the dashboard is a 30-day trend chart with all automations stacked. Use it to spot:

  • Sudden drops in open rate — usually a subject-line change that flopped or a deliverability issue.
  • Spikes in bounces — usually a flood of typo-ridden email addresses from a recent campaign.
  • Quiet automations that barely send — good candidates for turning off or reworking.

Filter by date

Change the date range with the picker in the top-right. Common ranges:

  • Last 7 days — are my recent changes working?
  • Last 30 days — my monthly baseline.
  • Last 12 months — seasonal patterns.
  • Custom — compare a specific campaign window.

Diagnosing low performance

Low open rate

  • Rewrite the subject line. This is almost always the fix. Test 2-3 subjects against each other over a week.
  • Check "from" name. "TrailerBase Automations" converts worse than "Alex at Neighbor's Trailer".
  • Check send time. Pre-pickup reminders sent at 3am have low opens because they are buried under overnight mail.

Low click rate

  • Make the CTA button more prominent. One big button beats three small links.
  • Write clearer link text. "View your rental" beats "Click here".
  • Put the CTA above the fold — don't make readers scroll.

High bounce rate

  • Clean typos in the Renters list. A returning renter whose email bounces every time is usually a typo from their first booking.
  • Verify sender domain authentication (SPF, DKIM, DMARC). Bounces over 2% often trace back to here — open Settings > Deliverability to check.

High complaint rate

  • You are sending too often or to the wrong audience. Pause marketing-style automations (Review request, Next-booking nudge) and review your frequency.
  • Make unsubscribe obvious. Hidden unsubscribe links lead renters to hit "spam" instead.

Exporting data

Click Export on the main Performance page to download a CSV with every metric for every automation over the selected date range. Useful if you want to layer email data into a spreadsheet with revenue data or share with an agency.

Monthly review habit

Block 30 minutes once a month to open this dashboard, skim the trend, and pick one template to improve. Small compounding gains here add up to meaningful revenue — a 5-point lift in review-request click rate can double the reviews you collect per quarter.
