Narrow the TrailerBase calendar by trailer, status, blocked dates, renter search, and date range to focus on exactly what you need.

Filtering the Calendar

When you have 20 trailers and dozens of reservations on the board, the Calendar can get dense. TrailerBase ships a rich set of filters so you can narrow down to exactly what you need, save those views, and jump between them.

Opening the filter panel

On the right side of the calendar, click the Filters button (funnel icon). A panel slides open with every filter control. Filters apply live - the calendar updates as you tick options.

Trailer multi-select

The Trailers section lists every trailer in your fleet with a checkbox.

  • Default: all trailers visible.
  • Click a single trailer to solo it; every other checkbox clears.
  • Tick multiple boxes to see a custom subset (say, "just the dump trailers" or "just yard A units").
  • Use the search box at the top of the list to filter by name if your fleet is large.

Status filter

The Status section has checkboxes for:

  • Pending - New, not yet accepted
  • Accepted - Confirmed, not yet checked in
  • Active - Currently out
  • Completed - Returned (past bookings)
  • Cancelled
  • No Show

By default, Pending, Accepted, and Active are on; Completed and Cancelled are off to keep the view focused on live work. Check more boxes to see historical bars and color-coded cancellations in context.

Show or hide blocks

Separate from reservations, the Blocked dates toggle controls whether maintenance, owner-use, and holiday blocks render. Useful when:

  • You are doing a dispatch review and only care about real bookings - hide blocks.
  • You are planning maintenance - show blocks to see what is already booked off.

Search by renter

The search bar at the top of the filter panel searches renter name, phone number, email, and reservation ID. Matching reservation bars stay colored; non-matches fade to gray.

Date range picker

Under Date range, you can constrain the visible window:

  • Any - Show every reservation in the current view (default).
  • Next 7 days - Highlight bookings starting in the next week.
  • This month
  • Custom - Pick two dates.

Non-matching bars fade, making your chosen range pop visually. This is different from changing the view (month/week/day) - filters dim rather than hide so you can see nearby context.

Staff filter (Advanced)

On the Advanced plan, the Assigned to filter lets you see only the reservations a specific team member is managing. Useful for a dispatcher who oversees one yard or a shift lead running mornings.

Combining filters

Filters are additive - the more you tick, the narrower the view. Example: Trailer = [dump 1, dump 2] AND Status = [Active] AND Date range = [This week] AND Search = "Tran".

A small count chip next to the Filters button shows how many filters are active.

Saving a view

Created a useful combination? Click Save as view at the bottom of the filter panel.

  1. Name it ("Weekend pickups", "Fleet maintenance prep", "Active dumps").
  2. Optionally share with your team (Advanced).
  3. Click Save.

Saved views appear as tabs at the top of the calendar. Click a tab to snap to those filters.

Clearing filters

  • Clear all at the bottom of the panel wipes every filter back to default.
  • Click any active filter chip to clear just that one.
  • Switching to a saved view replaces the current filter state (it does not add on top).

Keyboard shortcuts

  • F - Toggle the filter panel
  • / - Focus the renter search
  • C - Clear all filters
