Navigate the TrailerBase Calendar: month, week, and day views, color-coded trailers, drag-to-resize reservations, and the mini-calendar.

Using the Calendar

The Calendar is the visual heart of TrailerBase. Every reservation, block, and hold across your entire fleet shows up here in one place so you can spot conflicts, drag to adjust, and create new bookings with a click.

Opening the calendar

Click Calendar in the sidebar under the Core group. The calendar fills the main canvas, with a left mini-calendar for jumping between months, a top toolbar for view switching, and a right-side filter panel.

Switching views

The top toolbar has three view buttons:

  • Month - A traditional month grid. Good for a bird's-eye view.
  • Week - A 7-day swim lane with your trailers down the left edge. The default view.
  • Day - A single day with hourly granularity. Great for a busy pickup day.

Next to the view buttons, Today jumps you to the current date, and < > arrows move one unit forward or back.

Trailers as rows

In Week and Day views, each trailer gets its own horizontal row. The row label on the left shows the trailer's hero photo and name. Reservations appear as colored bars spanning their pickup-to-return range.

Each trailer gets its own auto-assigned color so at a glance you can see which trailer a booking belongs to. You can override the color under Trailers > (trailer) > Display > Calendar color.

Reservation bars

Each reservation bar shows:

  • The renter's name
  • Pickup and return times (if space allows)
  • A status indicator dot (Pending, Accepted, Active)

Hover over a bar to see a quick-info tooltip with full renter name, phone, pickup time, return time, and total.

Clicking to open a reservation

Click any reservation bar to open the reservation drawer from the right. You can edit, check in, check out, cancel, or message the renter all from the drawer without leaving the calendar.

Dragging to adjust

The calendar supports direct manipulation:

  • Drag the middle of a bar - Move the whole reservation to a different date (same trailer).
  • Drag the left edge - Change the pickup date.
  • Drag the right edge - Change the return date.
  • Drag across trailers - Move a reservation to a different trailer row.

TrailerBase validates on drop:

  • If your new placement conflicts with another booking, it refuses and flashes red.
  • If pricing changes (different trailer or longer stay), it shows a confirmation modal with the new total before saving.

Creating a reservation from the calendar

Click any empty slot on a trailer row. The New Reservation drawer opens with the trailer and dates pre-filled. Type the renter, adjust if needed, and save. This is the fastest way to book a same-day walk-in.

The mini-calendar

On the left side of the canvas, a small month calendar shows the currently visible range highlighted. Click any date to jump the main view to that date. Click a month header to pick a different month.

Today indicator

A thin vertical line on the calendar marks right now in week and day views. It auto-refreshes every minute so you can see which booking should be picking up or returning at this moment.

Color legend

Different states use different visual styles:

  • Solid bars - Accepted or Active reservations
  • Striped bars - Pending reservations
  • Gray blocks - Blocked dates (maintenance, owner use)
  • Red outline - Overdue returns

Multi-day zoom

Printing or exporting the calendar

Click the gear icon in the top-right of the calendar and pick Export current view for a PDF, or Copy URL to share a read-only link with a teammate who does not have a TrailerBase seat.
