Converting Renters into Buyers: Best Practices
If a contractor rents the same dump trailer from you four weekends in a row, that is not a rental customer — that is a buyer who has not done the math yet. The job of your dealership rental program is to spot those people early, time the conversation right, and hand the lead to your sales team with enough context to close. TrailerBase is built to make that hand-off natural.
Watch for the Frequent Renter Callout
The renter detail page shows a yellow Frequent Renter badge whenever a customer crosses the threshold of three or more rentals of the same trailer model. You do not have to compute it manually. The callout includes:
- Total number of rentals of that model
- Total dollars they have paid you
- The date of their first rental and most recent rental
If the dollars-paid number is creeping toward the price of the trailer, that is your signal to start the conversation. Often the prospect already knows. They are renting because committing to a purchase felt big, or because they were not sure they would use it enough. Three rentals in three months proves they will.
The Lead Status Lifecycle
The Sales Lead section on every renter has a status field that walks the prospect through your funnel:
- PROSPECT — On your radar, but no concrete signal yet.
- DEMO_TAKEN — They had a demo loaner or repeat rental that suggests serious intent.
- NEGOTIATING — Your sales team is actively quoting them.
- CONVERTED — They bought.
- LOST — They bought elsewhere or decided not to buy.
Update the status as the relationship progresses. The Sales Leads page at /leads filters on status, so your team can pull a list of "everyone who has taken a demo but has not closed yet" in one click.
When to Involve the Sales Team
Bring in a salesperson when one of these triggers fires:
- The frequent renter callout appears (3+ rentals of the same model).
- The renter has spent more than 50% of the unit's sale price in cumulative rentals.
- The renter explicitly asks about pricing, financing, or trade-in.
- The renter completes a demo loaner.
You can do this directly inside TrailerBase. Open the renter, click Assign Sales Rep, and pick a teammate. They get a notification, the renter is tagged with their name on the Sales Leads page, and the sales rep owns the follow-up from that point.
What to Put in Lead Notes
Lead notes are the bridge between rental ops and sales. The salesperson reading the note for the first time should know everything they need to make the call. Include:
- What they rent (model, configuration, accessories used)
- How they use it (hauling for a job, weekend projects, a side business)
- Pricing context (what they have paid you in rentals, what is the unit's sale price)
- Any objections you have heard ("said he is waiting until tax time," "wants a 7x14 not a 6x12")
- Best contact channel and time (text after 5 PM, call mornings only)
Keep notes factual. Your sales rep will appreciate three crisp bullets more than a paragraph of editorializing.
When to Offer a Demo Loaner
Demos are not for everyone. Reserve them for prospects who already show clear intent — the frequent renter, the one who has asked about purchase pricing, the customer whose use case has clearly outgrown rentals.
