Running Demo Loaners That Capture Sales Leads
A demo loaner is one of the most effective sales tools at a dealership. You hand a prospect a trailer for a weekend at no charge, they pull a real load with it, and they come back ready to talk numbers. TrailerBase formalizes this workflow with the Demo Loaner booking type, so the whole thing flows through the same calendar and renter system as paid rentals — and the prospect ends up tagged in your sales pipeline automatically.
Where the Demo Loaner Toggle Lives
When you create a reservation from the New Reservation form, you will see a booking type selector near the top. The default is Standard Rental. Switch it to Demo Loaner and three things happen:
- The daily, weekly, and monthly rate fields are zeroed out automatically.
- A Demo Loaner badge is added to the reservation.
- The renter is auto-tagged with the DEMO_TAKEN lead status.
That last one is the key piece for sales follow-up. You will see the prospect on the Sales Leads page at /leads immediately, with the trailer model they tested already linked.
Step-by-Step: Book a Demo
- Click New Reservation.
- Pick the prospect (or create a new renter record if they are not in the system yet).
- Select the trailer from your DUAL_PURPOSE or RENTAL inventory.
- Set the booking type to Demo Loaner.
- Set the start and end dates (most dealers run demos as Friday-to-Monday or weekday overnight).
- Optionally enter a security deposit even though the rental rate is zero. Many dealers do this to discourage no-shows.
- Save the reservation.
The prospect gets a confirmation email like any other rental. The contract still gets signed. The pickup and return inspections still capture photos and odometer. From a workflow standpoint, the only difference is the rate is zero.
Overriding the Auto-Zero Rate
If you want the prospect to put down something nominal — a refundable deposit, a fuel pre-buy, a cleaning fee — TrailerBase lets you override the auto-zero. After flipping the toggle, just type a value into the rate or fee fields. The Demo Loaner badge stays in place. Many dealers charge $50 to $100 as a "show up" deposit, which gets applied toward purchase if the prospect buys, or refunded on clean return if they do not.
Auto-Tagging on the Renter
Open the prospect's renter detail page and scroll to the Sales Lead section. You will see:
- Lead status: DEMO_TAKEN
- First demo date: the start of the demo reservation
- Linked trailer: the model they tested
- Notes field: for your sales team to add follow-up context
You can update the lead status manually (PROSPECT, DEMO_TAKEN, NEGOTIATING, CONVERTED, LOST) as the conversation progresses. Anyone on your team with sales permissions can edit this section.
Best Practices for Demo Loaners
- Cap demos at 72 hours unless you really know the prospect. Long demos increase wear without proportionally improving close rates.
- Always require a signed contract even on demos. The contract is your proof of who had the trailer if there is damage.
- Capture pickup photos the same way you would for paid rentals. Demo wear-and-tear is a real cost and worth tracking.
- Set a follow-up task for your sales team at the end of every demo, ideally within 24 hours of return while the experience is fresh.
The demo loaner workflow exists to make this casual practice formal, measurable, and tied to the rest of your funnel. Run a few and the path from prospect to closed sale becomes a lot clearer.
