The Public Invoice Page

What renters see when they click your invoice link — logo, line items, total, Pay Online button, PDF download, and saved-card receipts.

The Public Invoice Page

When you send an invoice, the renter gets an email with a link. That link opens the public invoice page — a mobile-friendly, no-login-required view of the invoice, complete with a Pay Online button. It is the single most important renter-facing surface in TrailerBase after the booking portal.

What the renter sees

The page loads with your branding front and center:

  • Logo and accent color from your Invoice Settings.
  • Business name, address, and contact info pulled from Settings > Organization.
  • A clear banner at the top: "Invoice {{invoice_number}} from {{business_name}}."

Below the header, the page is divided into sections the renter can scan top to bottom.

Line items

Each line shows description, quantity, unit price, and amount. Lines are visually grouped so the renter understands what they are paying for:

  • Rental charges — the core of the invoice.
  • Add-ons (delivery, cleaning, tolls) — called out as a distinct sub-group.
  • Deposits — in a separate bordered section at the bottom with language clarifying that deposits are holds, not charges.

Total and breakdown

On the right side (or below on mobile), a running breakdown:

  • Subtotal
  • Discount (if any)
  • Tax
  • Total due

The Total is the big number, emphasized with the accent color. If partial payments have been recorded, you also see "Paid so far" and "Balance due" — renters appreciate the transparency.

Pay Online button

The centerpiece. A prominent accent-colored button that opens Stripe (or your configured payment processor) in an embedded checkout. Renters can pay with:

  • Credit or debit card
  • Apple Pay / Google Pay (on supported devices)
  • ACH bank transfer (if enabled)
  • Wallet / saved payment methods

Once payment completes, the page refreshes to show a success message and the invoice's status flips to Paid instantly in TrailerBase. No manual reconciliation required.

Below the Pay button, a Download PDF link lets the renter grab a copy for their records. The PDF matches the page exactly so there's no confusion between "what I saw" and "what I saved."

Saved-card receipts

For renters who have previously paid with a card and left it on file, the page shows a "Pay with saved card (•••• 4242)" option for one-click payment. After successful payment:

  • A receipt email is sent automatically with the payment details.
  • The receipt is also available as a PDF download from the same public page.
  • A small Receipts section appears below the total listing every payment tied to the invoice, with dates and amounts.

Mobile friendly

The page is fully responsive. Renters opening the link from a text message or mobile email app see a clean single-column layout with the Pay button pinned in the right place. Most payments actually happen on mobile — optimizing this experience pays off every single week.

Security

  • The URL contains a unique token that makes it unguessable.
  • Payment processing happens on Stripe's infrastructure; card details never touch your TrailerBase account.
  • HTTPS is enforced.
  • If a renter forwards their link to someone else, it still works — which is generally what you want for corporate accounts where an AP clerk is paying on behalf of the renter.

Expiration

Links do not expire by default. The page remains accessible as long as the invoice exists in TrailerBase, even after it has been paid. Renters can return to pull a receipt or PDF months later, which significantly reduces support inbox volume.

Tweaking the experience

Most of what appears on the public page is controlled by Invoice Settings — logo, color, business details, payment methods. A well-branded public page reinforces your professionalism and gets invoices paid faster.
