Why Recurring Schedules

The fastest way to reduce emergency repairs is to stop relying on memory for preventive work. Recurring maintenance in TrailerBase turns a one-time task into a self-perpetuating schedule, so the next service is always waiting in your queue.

How Recurrence Works

When you mark a task Recurring, TrailerBase remembers the settings. The moment you Complete the task, the system automatically creates a new task with the same title, category, assignee, and estimated cost, and sets its due date based on the interval you chose. You never have to remember to re-create it.

Setting Up a Recurring Task

  1. Create or open a maintenance task as usual.
  2. Toggle Recurring on.
  3. Choose your interval type: days or miles.
  4. Either pick one of the presets — 30, 60, 90, 180, or 365 — or enter a custom number.
  5. Save the task.

From that point on, completing this task will automatically generate the next one.

Days-based Intervals

Use days for calendar-driven work: seasonal inspections, battery checks, annual DOT, quarterly brake inspections. The new task's due date is the completion date plus the interval, not the original due date — so if you complete a 90-day task five days late, the next one is due 90 days from today, not from the old due date.

Miles-based Intervals

Use miles for wear-based work: bearing repacks, tire rotations, hub service. For miles to work, you must enter the mileage at service when completing the task. TrailerBase reads mileage from:

  • The mileage field on the task's completion form.
  • Trip mileage logged on bookings (from the return checklist).
  • Manual mileage updates on the trailer detail page.

When the trailer's accumulated mileage passes the next threshold, TrailerBase auto-creates the next task and alerts the assignee.

Preset Intervals and When to Use Them

You are not locked into these — a custom interval like 7,500 miles or 45 days is just as valid.

Editing a Recurring Schedule

Open any task that was created by a recurring schedule and click Edit Schedule. Changes apply to all future occurrences. Past tasks are not retroactively rewritten.

To stop the recurrence entirely, open the task and toggle Recurring off. The current task is unaffected, but no new task will be created when you complete it.

Tips

  • Stack your recurring work. Set multiple recurring tasks with the same interval and assignee so they show up together — for example, a 90-day block of preventive items your shop can do in one visit.
  • Estimate once, benefit forever. The first time you enter an accurate estimated cost, every future occurrence inherits it, which makes your Maintenance Cost Analytics projections dramatically more useful.
  • Combine with AI suggestions. The AI Maintenance Suggestions engine will flag tasks you probably should make recurring based on industry schedules.
