Tracking Promo Code Performance
Promo codes only help your business if they actually pull their weight. TrailerBase gives you a single dashboard where you can see how every code performs, whether it is attracting new renters, and whether the discount is eating into your margin. This guide walks you through every number you will find and how to act on it.
Where to find the data
Open Marketing > Promo Codes from the sidebar. Each code in the list shows quick stats in its row, but clicking a code opens the full performance view.
You can also filter the list by status (Active / Scheduled / Expired), channel (email, social, partner), and date range. The date range applies to every metric on the page, so changing it lets you compare a Labor Day push to a quiet January.
Per-code metrics explained
For every code, you will see:
- Redemptions — the number of bookings that actually used the code. Attempts that failed validation (expired, over limit, wrong trailer type) are shown separately so you can spot broken codes.
- Gross revenue — total booking value before the discount was applied. This is what customers would have paid at rack rate.
- Discounted revenue — what the customers actually paid. The gap between gross and discounted is your cost of the promotion.
- Average order value (AOV) — discounted revenue divided by redemptions. Compare this to your overall AOV to see if the code attracts bigger or smaller rentals.
- New-customer ratio — the percentage of redeemers who had never booked with you before. This is the number to watch if the goal of the code is acquisition.
- ROI % — calculated as (discounted revenue minus discount cost minus estimated fulfillment cost) divided by discount cost. A positive ROI means the code earned you more than it cost.
Steps to review a campaign
- Set the date range to match your campaign window.
- Open the code and scroll to the Funnel panel. You will see Views > Applied > Completed. Big drop-offs hint at UX issues, like the code being rejected at checkout.
- Check the New vs Returning donut. If you ran the code for acquisition but 80% of redeemers are returning customers, you are mostly giving margin away to loyal renters.
- Scroll to Per-Trailer Breakdown to see which units were booked most with the code. This is useful for pushing discounts on slow inventory.
- Look at the Day-of-Week heatmap to time your next send.
Exporting the list
Click Export in the top right of the main promo list to download a CSV. The export includes every field shown in the UI plus booking IDs, so you can join it against your own spreadsheets or pivot the data in Excel.
If you connect QuickBooks, discount amounts are already posted to a "Promotional Discounts" expense account for clean P&L reporting.
Tips for healthier codes
- Always set a usage cap and expiration so abandoned codes do not surprise your margin months later.
- Use single-use codes for influencer and partner deals so you can attribute cleanly.
- Watch for codes with high redemption but low new-customer ratio — those are candidates to retire.
- Compare ROI across codes, not redemption counts. A tiny code with 30% ROI beats a viral code that breaks even.
