Tracking Referral Program Performance

Launching a referral program is the easy part. Knowing whether it is actually making you money is where most operators get stuck. TrailerBase gives you a full funnel view, a per-person leaderboard, and a net ROI calculation so you can tell at a glance whether to double down or tweak the rules.

Getting to the dashboard

Open Marketing > Referrals. The date range picker at the top of the page filters every widget on the screen. Start by setting it to "last 90 days" for a meaningful sample.

The funnel

The first chart is the four-stage referral funnel:

  1. Clicks — total times a referral link was clicked.
  2. Signups — clickers who created an account.
  3. First Bookings — signups who made their first booking.
  4. Completed Rentals — first bookings that actually closed (your qualifying event).

Between each stage you see the conversion rate. Benchmarks to watch:

  • Clicks to Signups below 20% means your landing page is not converting well. Try cleaning up the offer copy.
  • Signups to First Bookings below 40% means the discount is not compelling enough, or the user experience after signup is friction-heavy.
  • First Bookings to Completed above 90% is normal; lower than that means cancellations are eating your funnel.

Per-referrer leaderboard

Under the funnel is a sortable Leaderboard. You can sort by:

  • Referrals sent (clicks generated)
  • Signups delivered
  • Completed rentals (the money-makers)
  • Rewards earned
  • Lifetime gross revenue generated

Click any row to open that referrer's detail view. This is where you find the handful of super-fans doing 80% of the volume. They often deserve a personal thank you, a bigger reward tier, or a feature in your newsletter.

Net ROI calculation

The big number on the right is Net ROI. It is calculated as:

(Revenue from referred rentals - Referrer rewards paid - Referee discounts given) / (Referrer rewards paid + Referee discounts given)

A Net ROI of 300% means every dollar spent on the program returned $3 in margin-adjusted revenue. Under 100% means you are losing money on referrals and need to tighten your rules.

The dashboard also breaks ROI down by cohort (month of first referral) so you can see if the program is getting more or less efficient over time.

Steps to improve your program

  1. Open the funnel and identify the weakest conversion.
  2. If Clicks to Signups is low, A/B test your referral landing page copy.
  3. If Signups to First Booking is low, try a richer referee discount or remove friction in the booking flow.
  4. Check the leaderboard weekly and reach out personally to your top three referrers.
  5. Watch the monthly budget cap — if you are hitting it regularly with positive ROI, it is time to raise it.
  6. Retire the program for 30 days if Net ROI drops below 100%, rework the offer, and relaunch.

Exporting the data

Every table has an Export CSV button. This is useful for building your own pivot tables, syncing into a CRM, or sharing with an outside marketer. The export includes user IDs so you can match against your customer database.
