Renter Profiles

Tour the tabs on every renter record — Overview, Rentals, Financials, Documents, Notes, and Activity — and learn what each one unlocks.

Renter Profiles

The renter profile is mission control for everything a single customer has done, owes, or needs. Open any renter from the Renters list and you will land on a layout with six tabs. Each is designed to answer a specific question quickly.

Overview tab

The Overview is your at-a-glance dashboard for this renter.

  • Contact block — name, email, phone, address, and quick-copy icons so a support call starts fast.
  • Lifetime totals — total rentals, total spent, outstanding balance, and last rental date.
  • Trust score — the 0–100 score described in Trust Scores, with a chevron that reveals the factors behind it.
  • Tags and status chips — VIP, Commercial, Watchlist, Deactivated, and any custom tags.
  • Next rental card — countdown to their upcoming pickup if one is scheduled.

This is usually enough to orient you before diving deeper.

Rentals tab

Every reservation this renter has ever made, sorted newest first. Each row shows the trailer, dates, status, total, and a link to the full reservation. You can filter the list by status (Completed, Cancelled, Overdue) to quickly answer questions like "have they ever returned a trailer late?" The row count at the top doubles as a repeat-customer signal — anyone on their fifth rental is usually worth a VIP tag.

Financials tab

A financial audit of the relationship. You will see:

  • Invoices — with status (Paid, Partial, Overdue, Draft) and amount.
  • Payments — method, date, amount, and reference.
  • Outstanding balance — summed across all open invoices.
  • Saved payment methods — cards on file via Stripe, with expiration warnings.
  • Deposit holds — any active authorization amounts.

A one-click Record Payment button up top lets you log cash or check payments against any open invoice without leaving the tab.

Documents tab

A shelf of uploaded files: driver's license front and back, insurance certificate, waiver signatures, and any custom documents your workflow requires. Thumbnails render inline, and each document shows expiration date when applicable. Licenses flashing amber in the next 30 days surface on the Overview tab too, so you do not miss a renewal.

Drag and drop to upload. Re-upload to replace. Deleting is soft — the file is archived and can be restored from the audit log.

Notes tab

Freeform internal notes, covered in depth in Internal Notes. Notes can be categorized (General, Warning, VIP, Billing), pinned to the top, and searched across your entire renter base. Every note is audit-stamped with author and timestamp.

Activity tab

A reverse-chronological log of everything the platform has recorded for this renter — created, updated, emailed, texted, paid, disputed, tagged, merged. Activity entries link back to the source where possible, so you can jump from "Payment of $250 applied to INV-1042" straight to the invoice.

Header actions

Above the tabs, quick-action buttons put the most common tasks one click away:

  • New Reservation (pre-fills this renter)
  • Send Message (email or SMS)
  • Create Invoice
  • Edit (contact fields)
  • More (Deactivate, Export, Merge with another profile)

The renter profile is designed so you rarely need to click away from it during a customer-service call. Get familiar with the tabs, and you will find most questions answered within two clicks.
