The Check-Out Process (Return)
Check-Out is the mirror of Check-In - it closes the rental, settles the deposit, and files the evidence you need if there is ever a dispute. This guide walks through the flow at return time.
Where check-out lives
Open the reservation (it will be in Active status) and click the orange Check Out button in the detail drawer. Same as check-in, the full flow works equally well on your phone in the yard or on a desktop at the counter.
Screen 1: Return time and condition overview
You see:
- Scheduled return date and time
- Actual return date and time (auto-filled to now; you can adjust if the renter arrived earlier or you are doing paperwork later)
- A condition rating dropdown: Excellent / Good / Minor wear / Damage found
Pick the condition rating that matches reality. If you pick Damage found, the wizard adds a damage-detail screen later in the flow.
Screen 2: Return photos
Shoot the same five anchor shots from check-in:
- Front 3/4 exterior
- Rear 3/4 exterior
- Interior/bed
- Coupler
- Tires
Plus any additional close-ups that document new damage, mud, or wear. TrailerBase automatically pairs return photos with pickup photos side-by-side on the final report so disputes are easy to resolve.
Screen 3: Final mileage and fuel
Enter the ending reading:
- Odometer/hubometer - Must be greater than the check-in reading. TrailerBase calculates miles driven live.
- Fuel level - If it is below pickup, a fuel refill fee is calculated automatically based on your Settings > Fees > Fuel refill rate.
- Tire PSI - Optional.
If the trailer was pulled more than the included mileage, mileage overage is calculated and shown as a new line item. Example: 350 miles driven, 200 included, 150 overage at $0.50/mile = $75 overage.
Screen 4: Damage (only if you picked Damage found)
For each damage item, add:
- Location on the trailer (side, rear, interior)
- Type (scratch, dent, broken part)
- Photo (required - TrailerBase enforces at least one)
- Estimated repair cost (or "To be determined" to skip now)
You can add multiple damage items. They are stored on the reservation and become part of the deposit-deduction calculation.
Screen 5: Late fees and adjustments
If the return is past the scheduled time, TrailerBase auto-calculates a late fee based on your Settings > Fees > Late return policy. Common setups:
- Grace period: 1-2 hours, no charge
- After grace: 1 additional day's rate
- After 24 hours late: 1.5x daily rate
You can override or waive the late fee with a click - overrides are logged.
Other adjustments you can add on this screen:
- Cleaning surcharge (trailer returned dirty)
- Missing-accessory fee (strap, chain, jack)
- One-off custom fee with a description
Screen 6: Deposit settlement
TrailerBase totals any deductions from the above screens and presents the final deposit settlement:
- Deposit held - What was pre-authorized or charged at pickup
- Deductions - Damage, late, cleaning, overage, missing items
- Refund to renter - What gets returned
You have three action buttons:
- Release full deposit - No deductions; card pre-auth is voided or full refund issued.
- Apply deductions and release the rest - TrailerBase creates a final invoice charge for the deductions and releases the balance.
- Withhold entire deposit - Rare, used when deductions equal or exceed the deposit.
Screen 7: Complete
Click Complete Check-Out. TrailerBase:
- Moves the reservation status from Active to Completed
- Finalizes the invoice with any new line items
- Sends the renter a thank-you email with the final PDF receipt and photo comparison
- Turns off GPS tracking (if integrated)
- Frees the trailer on the calendar for the next booking
- Feeds the data into your Reports so utilization and revenue stats refresh
After check-out
Review your check-out photos quickly - if they look clean and well-lit, you have bulletproof records if a dispute ever surfaces.
