Reservation Search & Filters
The Rentals page is where you will spend a lot of your day. As your fleet grows and the reservation list stretches into the hundreds, finding a specific booking or narrowing to a segment becomes essential. TrailerBase layers a handful of filters on top of the list so you can always zero in on what matters.
Status tabs
At the top of the Rentals page sit tabs that filter by lifecycle stage:
- All — every reservation regardless of status.
- Upcoming — confirmed but not yet picked up.
- Active — currently out with a renter.
- Overdue — past return time without being closed out.
- Completed — returned and reconciled.
- Cancelled — terminated before pickup.
Each tab shows a count badge so you can spot trouble at a glance (for example, three overdue reservations waiting on follow-up).
Search box
The search field matches against three things:
- Renter name or email — type "sarah" and every reservation by a Sarah shows up.
- Trailer name or VIN — handy when you are asked "is unit 14 out right now?"
- Booking number — paste the exact ID from an email or text thread.
Search is fuzzy, so minor typos and partial matches still work.
Date-range filter
Use the calendar picker to scope results to a window: pickup date, return date, or creation date. You can select a preset (Today, This week, This month, Last 30 days) or drag out a custom range on the mini-calendar. The range combines with whatever status tab you are on, so "Active rentals this week" is a single click plus a drag.
Trailer-type chips
Directly under the search bar, chips show every trailer category your fleet covers — Utility, Enclosed, Car Hauler, Dump, Equipment, Flatbed, and any custom types you have defined. Click a chip to filter to just that type. Click again to toggle it off. You can layer multiple chips to include several types at once.
Sort options
On the right side of the filter bar, a Sort menu lets you order the list by:
- Pickup date (ascending or descending)
- Return date
- Created (newest or oldest first)
- Renter name (A–Z)
The sort persists per browser, so if you always like to see the next pickup at the top, set it once and forget it.
Saving a view
Combined filters you use often can be saved as a named view. Set your filters, click the bookmark icon, and give it a name like "This week's pickups" or "Overdue enclosed trailers." Saved views appear as quick buttons next to the status tabs and can be shared across your team.
Clearing filters
Click Reset in the top right of the filter bar to clear everything and return to the default All view. This is the fastest way to recover if you have layered too many filters and wound up with an empty list.
