How renters book on your website
The booking flow on your website is the single most important part of the whole site — it is where visitors turn into revenue. Here is exactly what your renters see, in order, from the first click to the confirmation email.
Step 1 — Search dates
The renter lands on your site and either types in the search bar (date-picker on the home page) or clicks into the Trailer list page to browse. Both paths lead to a dates-and-location prompt:
- Pickup date and time
- Return date and time
- Delivery address (optional — only shown if you offer delivery)
They can change dates without losing their place as they browse.
Step 2 — See available trailers
Once dates are entered, the Trailer list page filters to show only trailers that are:
- Available on those dates (checked live against your calendar).
- Eligible for delivery to the entered address (if delivery was requested and you have a service-area limit).
- Not on maintenance hold during that window.
Each card shows the trailer name, a headline photo, the key specs (length, capacity), and the total price for the selected dates — not just the daily rate. Total price is the biggest driver of booking conversion, so the builder shows it by default.
Step 3 — Pick one
Clicking a card opens the Trailer detail page with a photo gallery, a full spec sheet, rental rules you have configured, and a right-side booking panel showing the selected dates and calculated price. They click Book this trailer.
Step 4 — Fill details
The booking form asks for exactly what you need and nothing more:
- Name
- Phone
- Intended use (tow vehicle, hauling purpose) — configurable per category.
- Driver's license photo upload (if you require it).
- Terms acceptance — your rental agreement, shown inline.
Returning renters who click the "I have rented from you before" link get their details pre-filled after a one-click email verification.
Step 5 — Pay online
Payment happens directly on your site using Stripe's secure elements. Renters can pay with:
- Credit or debit card (Visa, MasterCard, Amex, Discover).
- Apple Pay or Google Pay (auto-detected on supported devices).
- ACH bank transfer if you have it enabled.
The charge includes:
- Rental total (daily rate × days, plus any delivery fee).
- Taxes if you have tax rates configured.
- Deposit — authorized as a hold on the card, not charged.
- Any add-ons (chains, ramps, straps) they selected.
Step 6 — Confirmation email
The moment payment clears, three things happen at once:
- The rental appears in your TrailerBase calendar as Confirmed.
- A confirmation email is sent to the renter with booking details, pickup instructions, your address and phone, and your rental agreement attached.
- Your pre-pickup reminder automation schedules itself based on the pickup date.
All of this is automatic — you do not have to lift a finger.
Step 7 — Portal access link
The confirmation email contains a secure portal access link. The renter's portal lets them:
- View the booking, dates, and trailer details.
- Pay a balance if there is one.
- Sign the rental contract digitally.
- Upload additional documents you request.
- Message you directly — messages land in your TrailerBase inbox.
- Request an extension before the return date.
The portal works in any browser, on any device. No account creation is required — the secure link is tied to the booking.
What happens if something goes wrong
- Card declined — the renter sees a clear error and can try a different card. No booking is created until payment clears.
- Someone else books the same trailer while they are filling the form — the system detects the conflict at checkout, offers the next best available trailer, and nothing is charged.
- Renter abandons the form — partial booking data is saved for 30 minutes, and a gentle abandoned-booking email can be sent if you have that automation turned on.
The flow is designed to convert as many visitors as possible while protecting you from double-bookings and failed payments.
