Navigating the Dashboard

A tour of the TrailerBase sidebar and top-level pages: Core, Operations, Growth, and Transactions groups, plus what every main page is for.

The TrailerBase sidebar is organized into four groups so you can find anything in one click. This article explains where each page lives and what it is for.

The sidebar at a glance

Down the left side of every page you will see four collapsible groups:

  1. Core - Day-to-day operations
  2. Operations - Fleet, people, and compliance
  3. Growth - Marketing, quotes, and the public rental site
  4. Transactions - Money in, money out

Click a group header to collapse it. Click the small arrow at the top of the sidebar to collapse the whole thing into icons if you want more canvas room.

Core group

Dashboard - Your home screen. It shows today's pickups and returns, this week's revenue, upcoming maintenance, and a personalized to-do feed. Widgets are drag-and-drop if you want to rearrange.

Calendar - The visual timeline for every trailer. Switch between month, week, and day views. Click any reservation to open a side drawer, drag an edge to resize, or click an empty slot to start a new booking.

Rentals - The reservations table. Filter by status (Pending, Accepted, Active, Completed, Cancelled), by renter, or by trailer. The default view is Upcoming.

Operations group

Trailers - Your fleet. Each row is a unit with a thumbnail, status, daily rate, and utilization percentage. Click in to edit specs, see booking history, or log maintenance.

Renters - Your customer list. Each renter has a profile with contact info, license photos, rental history, payment methods, and notes.

Maintenance (Pro and Advanced) - Service records per trailer, DOT inspection reminders, and scheduled service intervals.

Staff (Advanced) - Your team, their roles, and last login. You can suspend or remove users here.

Growth group

Quotes - Draft, send, and track quotes before they become reservations. Great for email leads who want pricing without committing.

Website (Advanced) - Your white-label public rental site builder. Pick a theme, edit sections, and publish to a custom domain.

Contracts - Templates and signed copies. You can create multiple templates (standard, commercial, long-term) and assign them by trailer type.

Marketing (Advanced) - Email campaigns, SMS blasts, promo codes, and the AI-driven re-engagement flows.

Transactions group

Invoices - Every issued invoice, its status (Draft, Sent, Paid, Overdue, Void), and quick actions to resend or refund.

Payments - The inbound side of money: every charge, the method, the fee, and the net.

Expenses - Outbound costs tied to trailers or the business: insurance, fuel, repairs, yard rent. You can upload receipts.

Reports (Pro and Advanced) - Revenue by trailer, utilization, top renters, P and L, tax-ready exports. Filter by date range and export to CSV or PDF.

The top bar

Across the top you will always find:

  • Search - Jump to any reservation, renter, trailer, or invoice by number, name, or license plate.
  • New button - Quick-create menu: New Rental, New Quote, New Invoice, New Trailer, New Renter.
  • Notifications bell - Renter replies, payment events, and system alerts.
  • Help - Opens this help center in a side panel without leaving your page.
  • Profile menu - Settings, Billing, Sign out.

Keyboard shortcuts

  • g d - Go to Dashboard
  • g c - Go to Calendar
  • g r - Go to Rentals
  • n - Open the New menu
  • / - Focus search

Mobile sidebar

On phones the sidebar collapses into a hamburger. Tap it to slide the same four groups in from the left. Search and the New button stay in the top bar.
