Tagging Renters

Tags are the lightweight way to classify renters. Where internal notes capture nuance, tags capture type — the single word or short phrase you would use to describe this renter in a roster. TrailerBase ships with a small set of default tags and lets you add your own.

Default tags

  • VIP — your highest-touch customers. Usually paired with a gold ribbon in the UI.
  • Commercial — business accounts that rent on behalf of a company.
  • Repeat — auto-applied after three completed rentals.
  • New — auto-applied for the first 30 days after a renter is created.
  • Watchlist — staff attention required. Use sparingly; pairs well with a Warning internal note.

Defaults can be renamed or disabled in Settings > Renters > Tags if they do not fit your vocabulary.

Creating custom tags

From the same settings page, click + New Tag. Give it a name, pick a color from the palette, and optionally add a short description that shows on hover. Custom tags examples we have seen work well:

  • Seasonal — summer-only renters
  • Referrer — has brought in new customers
  • Contract — under a long-term commercial agreement
  • Cash-only — billing restriction

Keep the tag list tight — eight to twelve tags is usually plenty. More and they lose meaning.

Applying tags

On any renter profile, click the + Tag button in the header and select from the dropdown. You can apply multiple tags to the same renter. To remove, click the X on any tag chip.

Bulk assign

On the Renters list page, filter or search to the set you want, tick the checkboxes, and click Apply tag in the bulk actions toolbar. This is the fastest way to bring a new tag across a large cohort — for example, tagging every renter who has booked in the last 60 days as Active.

Filtering by tag

At the top of the Renters list, a tag chip bar lets you filter with a single click. Chip behavior:

  • Single click — filter to renters with that tag.
  • Shift+click — add more tags (inclusive OR).
  • Alt+click — exclude that tag.

The result count updates live. Combine with the search bar and status filters for surgical segments.

Where tags show up

Tags follow the renter everywhere they appear:

  • Reservation cards — tags display as small color chips so you spot a VIP at a glance.
  • Calendar blocks — trailer rows show tag dots next to renter names.
  • Invoices (internal view) — tags appear in the header but not on the renter-facing public page.
  • Reports — segment your dashboards by tag for cohort comparisons.

Best practices

  • Tag sparingly and consistently. A tag applied to 5% of renters is useful. One applied to 60% usually isn't.
  • Use tags for classification, not messaging. If you want to track a specific conversation or warning, that belongs in Internal Notes.
  • Review quarterly. Retire tags that no longer fit.
  • Combine with automations. (If you have them enabled.) For example, auto-send a thank-you email when Repeat is applied.
