Get your data out of TrailerBase
Every report in TrailerBase can be exported to CSV, a universal format that opens in any spreadsheet app. Use exports to run custom analysis, share with your accountant, or archive a snapshot before year-end.
How to export
- Navigate to the report you want — for example Reports > Revenue or Reports > Customers.
- Apply any filters you want (date range, trailer, location).
- Click the Export button in the upper-right of any card or table.
- Choose CSV and TrailerBase will generate the file and download it to your browser.
Large exports (over 10,000 rows) are emailed to you instead — you will receive a download link within a minute or two.
What columns you get
Each exported CSV includes the columns visible on screen, plus some extras that are hidden in the UI but useful for analysis:
- Reservation ID, Renter ID, Trailer ID — stable identifiers you can join across reports
- Created at and Updated at timestamps in ISO 8601 format
- UTC offset so time-zone math is unambiguous
- Tags and custom fields as separate columns
What to open it in
CSV works everywhere, but each tool handles it slightly differently.
- Microsoft Excel — double-click the file. If numbers look weird, use Data > From Text/CSV and explicitly set column types.
- Google Sheets — use File > Import > Upload and choose Replace current sheet. Sheets auto-detects dates and numbers.
- Apple Numbers — double-click, then use Table > Convert to Table if rows come in as raw text.
- Python / R / BI tools — all read CSV natively. The UTF-8 BOM is included so special characters render correctly.
Scheduled email exports (Advanced plan)
If you are on the Advanced plan, you can schedule any report to arrive in your inbox automatically.
- Open the report you want to schedule.
- Click Export > Schedule recurring.
- Pick a cadence: Daily, Weekly (choose day), or Monthly (choose day number).
- Enter one or more recipient emails — separate with commas.
- Choose CSV or PDF attachment.
- Click Save schedule.
Scheduled exports are sent at 7:00 AM in your organization's time zone. You can manage or pause any schedule under Settings > Scheduled Exports.
Common use cases
- Accountant handoff — schedule a monthly revenue CSV to your bookkeeper
- Tax prep — export the full year of revenue in one click each January
- Investor updates — monthly KPI snapshot emailed to your team
- Deep analysis — pull raw data into a pivot table or BI tool
Privacy note
Exported files include renter email addresses and phone numbers. Treat them like any PII export — do not post them in public channels or share outside your team.
