Billing Tolls to Renters
Tolls stop being a back-office headache the moment you let TrailerBase bill them for you. Once a trailer is enrolled and a toll is matched to a rental, billing happens automatically — the toll lands on the renter's invoice as a line item.
Automatic Line Items
When a toll syncs in, TrailerBase checks whether it happened while a renter had the trailer out. If it did, the toll is added as a line item to that rental's invoice. You do not click anything, and the renter sees the charge laid out clearly:
- Date of the toll
- Location reported by the toll network, when provided
- Toll amount
- An admin fee, if your account is set up with one (shown as its own line)
The admin fee is a small handling charge some operators add on top of the raw toll. It is configured for your account by TrailerBase — when set, it appears as a separate toll admin fee line so the renter can see exactly what is the toll and what is the fee.
Tolls That Arrive After the Rental Ends
Toll networks often report a toll several days after the drive happened — sometimes after the rental is already closed and paid. TrailerBase handles this for you. When a toll lands for a rental whose invoice is already settled, it is billed on a follow-up invoice for just that toll (plus the admin fee, if any). The renter gets an email with the new invoice and pays it online — the original invoice is left untouched.
This is what makes hands-off toll billing real: you do not have to watch for late tolls or chase renters after the fact. The follow-up invoice goes out on its own.
Unmatched Tolls: The Review Queue
Not every toll can be matched to a renter automatically. Maybe the toll arrived while no one had the trailer out (a yard move or a maintenance run), or the plate on the toll does not line up with a rental window. When that happens, TrailerBase does not guess — and it never bills the toll to the nearest renter.
Instead, the toll waits in Tolls → Review. From there you can:
- Assign it to a rental — if you know which reservation it belongs to, attach it and it bills like any other toll.
- Leave it as a business cost — deadhead and maintenance tolls are yours, not a renter's.
This review step is the safety net that guarantees a toll is only ever billed to the renter who actually had the trailer.
Keeping It Honest
Every toll on every rental is itemized — the renter sees the toll amount and the admin fee as separate lines, never a vague surcharge. That transparency is what turns tolls from an awkward back-and-forth into a line item nobody argues about.
Done right, toll billing becomes a small but steady source of recovered cost — and an end to eating tolls that were never yours to pay.
