Toll Tracking Overview

If your trailers travel across toll roads, bridges, or tunnels, you have probably lost money on tolls that you never managed to bill back to renters. TrailerBase solves this with automatic toll tracking.

The Basic Flow

TrailerBase's toll engine does three things on your behalf:

1. Captures every toll — Once a trailer is enrolled, every toll event is pulled into your dashboard, linked to the trailer and the current rental.
2. Syncs daily — You do not have to remember to refresh anything. Overnight, TrailerBase pulls the last 24 hours of toll activity from every enrolled provider and attaches it to the right reservation.
3. Bills the renter automatically — When a rental finishes, any tolls that happened during the rental window are added to the invoice as line items. The renter pays, you get the money, and the trailer is ready for the next booking.

This is end-to-end — you set it up once per trailer, and then it runs on its own.

One-Time Enrollment

Before you can enroll a trailer, it must have a license plate and plate state set (under Trailers → Edit), because TrailerBase matches tolls to your trailers by plate and state.

To get started, you enroll each trailer in the toll system once. You do this from the Tolls → Enrollments tab — pick the trailer from the dropdown and click Enroll. There is no transponder or provider account to set up; TrailerBase registers the trailer with the toll network behind the scenes using its license plate and plate state.

From that moment forward, every toll recorded for that plate is attributed to the trailer automatically. If the trailer's plate ever changes, update it under Trailers → Edit and re-enroll.

Handling the Rental Window

TrailerBase matches tolls to rentals using the pickup and return times from your reservation. A toll that happens between 9:02 AM on a Saturday and 5:47 PM on a Sunday, for example, is attached to whichever reservation covers that window.

Tolls that happen between rentals (deadhead runs, maintenance trips, transport between yards) are attributed to your business, not to any renter. They show up on your dashboard so you can track operational costs.

What You See

In your dashboard you get:

• A Tolls page with all recent events, filterable by trailer, date, or renter
• A per-trailer toll summary on each trailer's detail page
• A toll line-item breakdown on every invoice that includes tolls
• A Review queue that holds any toll which cannot be matched to a rental, so you can assign or waive it

Supported Coverage

TrailerBase's toll providers cover the majority of US toll roads, including most of the East Coast (E-ZPass network), the Southeast (SunPass, Peach Pass, NC Quick Pass), California (FasTrak), Texas (TxTag), and interchange agreements that extend reach across state lines. If you operate in a state we do not cover, let us know — our provider list grows regularly.

Toll tracking is available on every plan, including Launch. Once enabled, your renters appreciate the transparency (a detailed line item beats a mystery surcharge every time) and you stop eating costs that were never yours to pay.
