Trailer Availability Status: Active, Maintenance, Retired
Every trailer carries a single status field that controls whether the public can see it, whether you can book it, and whether it shows on your calendar. Three states cover every situation.
The three statuses
ACTIVE — The default. The trailer appears on your public website, shows on the booking calendar, accepts new reservations, and counts toward utilization and revenue reports. Use this for any trailer that is rentable today.
MAINTENANCE — The trailer is temporarily out of service. It disappears from public listings so renters cannot book it, but it still shows on your internal calendar as a striped (not solid) row so you remember it exists. Open reservations in the future are not canceled — you can either move them to another trailer or keep them on the calendar, knowing you need to finish maintenance first.
RETIRED — The trailer is permanently out of the fleet. It is hidden from public listings, hidden from the booking calendar, and excluded from utilization math going forward. Historical reservations, invoices, and maintenance records all stay intact, so you can still pull up last year's revenue for that trailer.
Changing status
Open any trailer, scroll to the top of the Overview tab, and click the status pill. A dropdown lets you pick the new state, optionally leave a note ("axle repair at ABC Trailer Shop, ETA Friday"), and save. The change is instant.
Bulk status changes
On Trailers > List, select the checkbox next to each trailer you want to update, then open Actions > Change Status. This is useful when:
- You are taking half your fleet to annual DOT inspection.
- You just bought a fleet from another dealer and need to bring them all live at once.
- You are winter-parking specific trailers until spring.
You can also bulk-unselect if you pick the wrong one — nothing commits until you confirm.
How status interacts with the calendar
The main calendar only shows ACTIVE and MAINTENANCE trailers. Retired trailers drop off entirely so your calendar does not clutter up over years of fleet turnover. If you need to find historical data on a retired trailer, go to Reports > Trailer Performance and filter Include retired.
A pattern that works well
Put a trailer into MAINTENANCE the moment you discover a problem, even if you have not started work yet. This prevents the worst scenario — a renter showing up at 7 a.m. Saturday to pick up a trailer that you already know has a bad bearing.
When the work is done and the trailer is ready, flip it back to ACTIVE and it reappears on public listings within seconds.
Keeping old data clean
Retire, do not delete. Deleting a trailer is permanent and breaks historical reports. RETIRED keeps the history and gets the trailer out of your way.
